Borrowing Materials

Who may borrow material?

Anyone with a Corcoran ID may borrow material from the Library. Students must be currently enrolled in a class. You must be registered to use the Library and present your Corcoran ID to borrow material.

Guests not affiliated with the Corcoran may consult material in the Library.

Register to use the Library

Register to use the Library in person at the information desk. You will need to present a Corcoran ID.

Borrowing periods

Registered users may borrow an unlimited number of items, provided they are in good standing.

Borrowing periods are based on user category and type of material:

*Gallery interns may borrow items on behalf of a Gallery staff member, with a permission form available at the information desk. Both parties must be registered users of the Library. Staff borrowing periods will apply.

Library items must be returned on or before their due date. You can check your due dates online through your library account (requires user ID and PIN).

Renewals

Library materials can be renewed if there are no holds placed on them by other users. The borrowing period is reset from the date of the renewal.

There are several ways to renew Library material:

Returning material

Return all material to the information desk during library hours. If the Library is closed, place material in the book drop located on the ground floor of the Downtown campus, across from security. Material returned to the book drop will be checked in with the previous day’s date.

All material must be returned to the Downtown campus.

Holds and recalls

If you would like to borrow material currently checked out to another user, you can place it on hold. Once the item is returned, you will be notified and the item will be held for you at the information desk for seven days.

Requests for holds on checked out items can be placed through the online catalog (requires user ID and PIN) or at the information desk.

The Library reserves the right to recall items before their due date so they may be put on reserve or used in a class.

If a recall is placed on an item that you have checked out, a recall notice will be sent listing the new due date. Items with recalls must be returned on or before the due date to avoid fines. Overdue recalls accrue a fine of $1 per day.

Items with holds and recalls placed on them cannot be renewed.

Non-circulating materials

Journals, reference materials, and restricted items, including artists’ books must be used in the Library.

Notices and fines

Overdue notices are sent when items are not returned by the due date. Overdue notices are a courtesy provided by the Library. Users are responsible for overdue items regardless of whether they receive overdue notices or not.

Students accrue the following fines for overdue items:

When a student’s total Library fines reach $10, the student will not be able to check out additional material until all overdue items are retuned and/or all fines are paid. Students who owe fines and/or have overdue items at the time of registration or at the end of the semester will have student records, transcripts, and diplomas held and will not be able to register or graduate until all items are retuned and/or all fines are paid. If fines are not resolved in a six month period, they will be sent to a collection agency.

For faculty and staff, all material is due back at the end of each semester. A courtesy note is sent out one week before the end of the semester. Accounts not resolved thirty days after the end of the semester will be billed for the replacement cost of the items. If a faculty, staff member, intern, or docent does not pay the replacement cost, their department will be billed.

Lost material

If a book(s), DVD(s), video(s), slide(s), or other equipment is lost or damaged, the user will be billed the replacement cost of the item plus a $15 processing fee, up to a charge of $100 per item. The replacement cost for out-of-print material, including books, DVDs and videos, is determined by an out-of-print dealer. The replacement cost of slides is $5.00 each.

If a student does not pay the replacement cost, the bill will be sent to a collection agency.

If a faculty or staff member, intern, or docent does not pay the replacement cost, his or her department will be billed.

Loss of privileges

The Library reserves the right to revoke a user’s borrowing privileges because of theft, abuse, neglect, and/or repeated loss of Library material. In a less severe case, a written warning will be given to the user and sent to the College or Gallery administration; if a second offense occurs, the user’s privileges will be revoked. In a more severe case, the user’s privileges will be revoked immediately, and the College or Gallery administration will be informed.
